The phrase that should bother you

"I will send it over." We say it a dozen times a deal, and it sounds like progress. It is actually the sound of the org wall doing its work.

Because when the person you are sending to does not live in your system, sending is the only move available. The broker, the landlord, the partner: you cannot give them a seat, so you give them a file. Over months and dozens of these handoffs, a whole side of the deal gets run entirely by attachment.

What managing by attachment actually means

Look at what travels as an attachment on a normal leasing deal. The rent roll. The letter of intent. The lease abstract. The site data and demographics. The financial model. Every one of these is a live thing that keeps changing, and every one of them gets frozen into a file and mailed across the wall.

The partner never enters your record. The record leaves your system as a copy and goes to live in their inbox. From that moment, you have two versions of the truth that can only be reconciled by hand, and usually only after something breaks.

Three failures baked into every attachment

Managing a partner by attachment fails in three specific ways, every time.

  • It is stale. An attachment is a snapshot, frozen the instant you hit send. The terms you sent Tuesday are not the terms by Friday, but the file does not know that.
  • It is untracked. You cannot see whether they opened it, and they cannot see that you have updated it. Both sides are guessing about what the other is looking at.
  • It is uncontrolled. Once it is in their inbox, you cannot revoke it, version it, or correct it. The wrong number is loose, and it will resurface at the worst possible moment.

None of these failures shows up as a line item, so the cost hides. It shows up as the meeting to reconcile which LOI is current. As the follow-up email that dies unanswered. As the deal that slowed to a crawl because the landlord's real terms lived in one person's sent folder and nobody else could see them.
